2. What data we collect
Depending on how you use our services, we may collect:
a) Account & Profile Information
- Name, email, address, date of birth
- Emergency contacts (names, phone numbers, emails)
- Medical details (conditions, allergies, blood group, medications, implants, advance decisions/DNRs)
- Uploaded documents (advance directives, medical notes, scans, etc.)
- For EmployeeSafe users: employer name, job role, employee ID
b) Technical Data
- Device/browser type, IP address, log-in history, cookies
c) Payment Data (Premium Plans only)
- We do not store card or bank details. Payments are processed securely by GoCardless and PayPal.
d) Location Data (Walkalone users only)
- GPS data when the Walkalone alert button is pressed.

- Contractual necessity (to provide the You-ID.me service)
- Explicit consent (when you enter and update your profile data)
- Vital interests (to protect your life in a medical emergency)

- Provide “Speak4Me” (Google AI text-to-speech) and “Walkalone” safety features

- Process payments for premium plans
- Improve and secure our websites and systems
5. Sharing your data
We only share your data when necessary to deliver the service:
- Emergency responders: can access your profile in emergencies via QR, NFC or unique ID
- Your nominated emergency contacts: may receive SMS/email alerts with your details (you must have their consent before adding them)
- Payment providers: GoCardless, PayPal, Stripe

We use third-party payment processors to handle subscription and premium plan payments. These include:

We do not store full payment card or bank account details; these are handled securely by the providers
- Hosting & IT providers: Weebly (marketing site), STRATO (users.you-id.me portal), YP Solutions
- Messaging providers: SMS/email gateway services
- Google AI: for Speak4Me audio playback
6. Children’s data
Our services are intended for users aged 16 and over. Users under 16 are not permitted to register directly. In the event that we become aware that a user under 16 has registered an account without parental or guardian oversight, we will:
- Delete the account unless it is managed by a parent or guardian; and
- Remove any personal or medical data associated with the account.
Parents or guardians may create and manage an account on behalf of a minor. Any data submitted in this context must be accurate and complete, and parents/guardians are responsible for updating or removing it as necessary.
7. Data retention
- User profiles: kept until you delete them via your dashboard or your subscription ends.
- Inactive free accounts: deleted after [e.g. 3 years] of inactivity.
- Payment & transaction records: retained for 6 years for legal/tax purposes.
- Support messages: up to 2 years.

- Correct inaccurate or incomplete data
- Delete your profile/data (“right to erasure”)
- Restrict or object to processing in some cases
- Withdraw consent at any time

- Encrypted data transmission (HTTPS/SSL)
- Encrypted storage for medical data and documents
- Two-factor authentication and VPN access for admin staff
- Regular security audits and firewall/antivirus protection
- Role-based access for staff (only where strictly necessary)
